BLUE BRIGADE BAND

ARTICLE I: NAME
The name of the organization will be Spring Hill Band Boosters.
ARTICLE II: PURPOSE
To encourage and help facilitate an interest in all phases of the band program in the Spring Hill Public Schools.
To cooperate with the band directors, school administration and school board to the end that the band program be brought to and kept at the highest possible degree of efficiency.
To develop a closer relationship between band students, their parents and the school.
To promote the musical interest and education of the students; stimulating the knowledge, performance and appreciation of finer music.
To assist financially when needed in various activities and needs of the band program.
To help chaperone, assist financially, or assist in making travel plans for educational trips, performances, contests, etc., that are approved and sanctioned by the school.
ARTICLE III: POLICIES
This organization shall at all times be goverened by the policies of the University Interscholastic League of the State of Texas, the local school board and the school administration.
ARTICLE IV: MEMBERSHIP
The membership of this organization shall not be limited. Anyone who is interested in the well being of the Band Program of Spring Hill ISD who is willing to subscribe to these by-laws, and uphold the organizations policies may become a member of the Spring Hill Band Boosters. For the fee to be set by the Executive Committee annually, members shall be issued a one-year membership card which entitles them the rights and privileges of the organization.
ARTICLE V: OFFICERS AND THEIR ELECTION
Section 1:
A. The officers of the club shall be President and/or Co-President, First Vice President, Second Vice President, Third Vice
President, Fourth Vice President, Fifth Vice President, Treasurer, Secretary, Purchasing Agent, and the Band
Directors. These offices shall be known as the executive committee.
B. Officers shall be elected annually at the regular final meeting of a school year.
C. Officers shall be elected by ballot if there are two or more candicates for any office. If there is but one candidate for
any office the election may be by voice.
D. Officers must attend a minimum of two-thirds of the regular monthy meetings to be eligible for any office the following
year.
E. Officers shall assume their official duties at the last meeting of the previous school year to be served and shall serve for
a period of one year.
F. All officers must have a student in the band program to be an officer.
Section 2:
A. There shall be a nominating committee consisting of three or more members who will be selected by the president and
voted on at the regular meeting of the club at least two months prior to the election (March Meeting).
B. The instrumental music director will serve as ex-officio on this committee.
C. The nominating committee shall select and accept nominations for each office to be filled and report at the next
regular meeting.
D. Only those who have consented to serve shall be eligible for nominatio.
Section 3:
A. A vacancy occurring in an office shall be filled for the unexpired term by a person elected by the remaining members of
the executive committee.
ARTICLE VI: DUTIES OF THE OFFICERS
Section 1:
The President (and/or Co-President) shall schedule and preside at all meetings of the association and of the executive committee: shall be a member ex-officio of all committees except the nominating committee; and shall coordinate the work of the officers and committees. The President will also create the schedules for concession stands and help coordinate events for the parents to attend such as SNAP competition, open houses, band banquet, and performances. The President will work with the band director to help them with any band events being hosted by Spring Hill or that the Band is attending.
Section 2:
The First Vice President shall act as an aid to the President and shall perform the duties of the President in the absence or inability of that officer to serve. This individual will be responsible for the smooth operation of all Friday night concessions. This includes obtaining the money bag, running the stand(s), cleaning the stand after an event, counting and recording the money before and after the event and making the deposit of the final monies to the bank or delivering the money bag to the Treasurer. This individual should also fill out an inventory sheet after each event and leave it in the stand unless directed otherwise by the Purchasing Agent.
Section 3:
The Second Vice President will serve as the individual responsible for the concessions at the Thursday JV and ninth grade events. This includes the obtaining of the money bag, running the stand(s), cleaning the stand after an event, counting and recording the money before and after the event and making the deposit of the final monies to the bank or delivering the money bag to the Treasurer. This individual should also fill out an inventory sheet after each event and leave it in the stand unless directed otherwise by the Purchasing Agent. There may also be other duties as assigned.
Section 4:
The Third Vice President will serve as the individual responsible for the Thursday night Junior High football concessions. This includes the obtaining of the money bag, running the stand(s), cleaning the stand after an event, counting and recording the money before and after the event and making the deposit of the final monies to the bank or delivering the money bag to the Treasurer. This individual should also fill out an inventory sheet after each event and leave it in the stand unless directed otherwise by the Purchasing Agent. There may also be other duties as assigned.
Section 5:
The Fourth (Volleyball) Vice President will serve as the individual responsible for Volleyball Concession events. This includes the obtaining of the money bag, running the stand, cleaning the stand after an event, counting and recording the money before and after the event and making the deposit of the final monies to the bank or delivering the money bag to the Treasurer. This individual should also fill out an inventory sheet after each event and leave it in the stand unless directed otherwise by the Purchasing Agent. There may also be other duties as assigned.
Section 6:
The Fifth (Basketball) Vice President will serve as the individual responsible for Basketball Concession events. This includes the obtaining of the money bag, running the stand, cleaning the stand after an event, counting and recording the money before and after the event and making the deposit of the final monies to the bank or delivering the money bag to the Treasurer. This individual should also fill out an inventory sheet after each event and leave it in the stand unless directed otherwise by the Purchasing Agent. There may also be other duties as assigned.
Section 7:
The Treasurer shall present a statement of account at monthly club meetings and at other times when requested by the executive committee. The Treasurer will also approve all expenditures from the bank account and will match concession tally sheets with the monthly statements. In the event that parents make monthly payments toward their child's band trip, the Treasurer will coordinate these as well and will provide monthly updates to the Secretary.
Section 8:
The Secretary shall record the minutes of all meetings of the organization and the executive committee and present a copy to the President. The Secretary will update and maintain the individual records indicating amount of credit earned by each band student from seventh through twelfth grade. The Secretary is responsible for any correspondence from the organization to the parents, the administration and the public.
Section 9:
The Purchasing Agent shall be responsible for acquiring an inventory used/needs list from the concession stands and is responsible for the purchasing and restocking of inventory. This individual shall be responsible for acquiring bids for vendor stocked items.
Section 10:
Since the Band Directors are the ones responsible for our students' education, involvement and fulfillment, and are the direct link between the students and this organization, they first recognize many of the activities and needs of our students. Major activities involving student participation shall come under their advisement.
ARTICLE VII: EXECUTIVE COMMITTEE
Section 1:
The Executive Committee shall consist of the officers of this organization.
Section 2:
The duties of the Executive Committee shall be:
A. To present a report at the regular meeting of the association.
B. To have a general supervision of the affairs of the association.
C. To transact necessary business in the intervals between association meetings and much of the business as may be
referred to by the association.
D. To create standing committees.
E. To approve the plans of work of the standing committees.
Section 3:
The President shall call the meeting for the executive committee.
ARTICLE VIII: STANDING COMMITTEES
Section 1:
Standing committees shall be created by the executive committee as needed to promote the objective and interest of the club. The chairman of the standing committee shall be selected by the executive officers and be approved by the majority of the assembly at a regular meeting. Their term in office shall be voluntary and shall be for one year. Examples of standing committees might be: calling committee, memebership committee, fundraising committee, public relations and set-up committee.
Section 2:
The chairman of all standing committees shall attend booster club meetings and report the progress or needs of that particular committees. The chairman of all standing committees shall present plans of work to the President before final approval by the executive committee.
ARTICLE IX: PARLIAMENTARY AUTHORITY
The rules contained in Robert's Rule of Order Revised shall govern the club in all cases of which they are applicable and in which they are not consistent with these by-laws.
ARTICLE X: AMENDMENTS
These by-laws and/or any procedures outlined in Exhibit A may be amended as needed.
Section 1:
After presentation of the proposed change(s) to the executive committee and recommendations by the executive committee.
Section 2:
After presentation of the proposed changes to the executive committee, the changes are to be presented to the general membership. A two thirds vote of those present and voting will pass the changes as stated.
ARTICLE XI: MEETINGS
Section 1:
The executive board shall hold meetings as necessary. The regular monthly meeting will be held on the first Tuesday of each month at 6:30 p.m.
Section 2:
The President may call special meetings or cancel meetings that may not be needed.
